Scope

This Privacy Policy explains how 1DentalAI collects, uses, discloses, and protects information through our websites, product demos, onboarding forms, communications, support channels, and hosted software services.

When 1DentalAI processes protected health information for a dental practice, DSO, or other covered entity, we do so as a service provider or business associate under the applicable agreement, including any Business Associate Agreement. In that case, the customer controls the patient relationship and determines how patient information may be used.

Information We Collect

We may collect account and contact information such as name, practice name, role, email address, phone number, billing details, and implementation preferences.

We may collect website and device information such as IP address, browser type, pages viewed, referring pages, cookie identifiers, and analytics events.

We may collect workflow information submitted through the product, including appointment, communication, insurance, RCM, clinical documentation, inventory, reporting, and integration records, depending on the modules a customer chooses to use.

We may collect support, sales, and communication records, including messages, call details, chat transcripts, consent records, and implementation notes.

How We Use Information

We use information to provide, secure, operate, improve, and support 1DentalAI services; configure practice workflows; process demos and onboarding; respond to requests; maintain audit logs; troubleshoot issues; and communicate service updates.

We may use de-identified, aggregated, or otherwise non-identifying information to improve reliability, safety, analytics, product performance, and business planning.

We do not use patient information to train public AI models. AI-assisted features are designed to support practice workflows with customer-configured permissions, review rules, and audit controls.

Dental Workflow And Health Information

1DentalAI may handle dental workflow data that can include patient names, contact details, appointment details, insurance information, treatment context, payment workflow information, clinical notes, forms, messages, call transcripts, and related operational records.

Customer agreements, product configuration, user permissions, and applicable law govern how this information is processed. Dental practices remain responsible for patient notices, consents, legal bases, and instructions for their own patients and staff.

Where required, 1DentalAI will use and disclose protected health information only as permitted by the applicable Business Associate Agreement, customer instructions, and law.

How We Share Information

We may share information with service providers that help us host, secure, monitor, communicate, process payments, support integrations, and operate the service.

We may share information with customer-authorized integration partners, such as PMS, EDI, payment, messaging, voice, calendar, analytics, or support providers, when needed to deliver selected workflows.

We may disclose information if required by law, legal process, security investigation, protection of rights, business transfer, or with consent from the relevant customer or individual.

We do not sell patient information.

Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls, environment controls, logging, data minimization, and security review for sensitive workflows.

No system is perfectly secure. Customers should use strong credentials, manage staff access, review integrations, and notify 1DentalAI promptly about suspected unauthorized access.

Retention

We retain information for as long as needed to provide the service, comply with legal and contractual obligations, resolve disputes, maintain audit records, and support legitimate business purposes.

Customer-controlled product data may be retained, exported, corrected, or deleted according to the customer agreement, product functionality, and applicable law.

Cookies And Analytics

We may use cookies, similar technologies, logs, and analytics tools to keep the site functional, understand usage, improve performance, remember preferences, and protect the service.

Browser settings may allow blocking or deleting cookies, although some parts of the site or service may not work correctly without them.

Your Choices

You may contact us to request access, correction, deletion, or other handling of personal information, subject to identity verification, legal limits, customer instructions, and contractual obligations.

If your information was submitted to 1DentalAI by a dental practice, contact that practice first for patient-record, appointment, billing, or clinical-record requests.

You can opt out of non-essential marketing communications by using the unsubscribe method in the message or contacting us.

Children

1DentalAI is not directed to children for direct independent use. Patient information about minors may be processed only when submitted or authorized by a customer practice, guardian, or other permitted party under applicable law and customer instructions.

Changes

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. Material changes may also be communicated through reasonable service or customer notices.
